How we handle your details.
Plain Site Security (“Plain Site”, “we”) staffs doors, private events and estates on the East End of Long Island. This page says what we collect from the people who use plainsitesecurity.com, the roster app at app.plainsitesecurity.com and the emails they send, what we do with it, who can see it, how long we keep it and how to ask us about it.

What we collect
If you request coverage on the site
Your name, a phone number or email, the kind of coverage, the dates, the venue or location and anything you write in the notes. The form also records the IP address and browser of the connection that sent it. We use that only to limit abuse of the form.
If you are a client who books through the roster app
The business name, a contact name, a phone number, the venue you book for most, the jobs you post (title, location, dates and hours, dress code, notes) and the requests, confirmations and cancellations on them.
If you are a guard on our roster
Your name, email and mobile number; your New York State security guard registration number and its expiry date; whether you work armed posts; the state-mandated trainings and other certifications you have completed; your years of experience, past venues and a short bio; a photo if one is added to your profile; the references you choose to give us, which are their names, their relationship to you and their phone numbers or emails; the days and hours you mark yourself free; and your shift requests, confirmations and cancellations.
Everyone who signs in
The email address you sign in with, the times you sign in, and the device and browser you used. Our sign-in provider holds these.
The roster app stores one preference in your browser, light or dark mode. The public site sets no cookies and runs no analytics or advertising trackers.
What we do not collect
We do not ask for or store Social Security numbers, dates of birth, driver’s licence numbers, bank or card details, biometric data or precise location. We do not buy data about you and we do not sell personal information.
What we use it for
- To staff posts: matching free guards to jobs, and sending requests, confirmations and cancellations.
- To reach you: a sign-in link or code when you ask for one, notices about shifts you were asked about or booked on, and a call or email back when you request coverage.
- To keep the record of who worked which post and when.
- To keep the service working and honest: rate limits, abuse prevention and fixing faults.
Who can see what
The office sees the roster and the bookings. That is how we staff posts and stand behind them.
A client who books through us sees, for guards on our roster: name, whether they work armed posts, verified status, years of experience, trainings and certifications, past venues, bio and the hours they have marked free. On a booking the client sees the guard’s name. Clients do not see a guard’s registration number, phone number, email, photo or references. The office handles all contact.
A guard sees their own profile, availability and shifts. Guards do not see other guards’ details, or a client’s details beyond the job posted.
Three companies process data for us. Supabase hosts the database and runs sign-in. Vercel hosts the site and the app. Resend delivers our email. Each holds what it needs to do that job, under contract, and nothing more. We do not share personal information with anyone else unless the law requires it or you ask us to.
Text messages
We do not send text messages. If that changes we will ask for your permission first, every message will say how to stop them, and stopping will take effect within ten business days.
The emails the roster app sends are about your account or your shifts. They are not marketing. If we ever start a newsletter it will be a separate list you join on purpose, with an unsubscribe link in every issue.
How long we keep it
- Coverage requests from the site: twelve months after our last contact with you. The IP address and browser record on a request is cleared after ninety days.
- Roster records: for as long as you are on the roster. Shift records for six years after your last shift, the period New York uses for employment and wage records.
- References: until you remove them or leave the roster.
- Sign-in records: as kept by our sign-in provider.
How it is protected
Every account sees only its own records, the office sees the roster, and clients see only what the roster shows them. These limits are enforced in the database itself, not only on the screen. Data is encrypted in transit and at rest by our providers. Sign-in uses a one-time link or code sent to your email. There is no password to lose.
Your choices
- Guards update their own profile, availability and references in the app at any time.
- Anyone can ask what we hold about them, ask us to correct it, or ask us to remove it, by writing to office@plainsitesecurity.com. We answer within thirty days. If you leave the roster we deactivate your profile at once and remove your personal details within thirty days, keeping only the shift records we are required to keep.
- If you are a reference a guard gave us and would rather not be, tell us and we remove you.
- If you live in California, these are also your rights under California law, and the same answers apply.
Children
The roster is for licensed guards, who are at least eighteen, and for businesses. We do not knowingly collect information from anyone under eighteen.
Do Not Track and other sites
We do not track you across other websites, so there is nothing for a Do Not Track signal to change, and we do not respond to it. No other party collects personal information about you across sites or over time through our pages.
Changes
When this page changes we update the effective date above. If a change matters to how we handle roster members’ details, we also tell them by email before it takes effect.
